Is Your SharePoint Governance Strategy Ready?

SharePoint can be a tremendously powerful resource if administered wisely, and that’s a big if. Which is why a SharePoint governance plan is essential. Rules, technology, responsibilities, protocol and policies need to be written out in advance. A SharePoint governance plan holds the whole operation together and also measures the success of a SharePoint installation.

How ready are you to implement your SharePoint governance strategy? Is your plan documented, with stakeholder roles clearly outlined, risks identified, and tasks prioritized?  Does your plan include information management policies, service level agreements with partners and/or customers, and change management guidelines?

Are you ready for governance?Beyond perceptions and planning activities, most projects will succeed or fail in the execution stage. Governance readiness is about having a shared understanding of how the organization will move forward and achieve its business goals, and having a documented plan with clearly outlined roles and responsibilities that can be executed. The purpose of this survey is to help organizations understand their state of readiness, against which their success can be measured.

Over the course of the year, Axceler has been conducting a series of surveys to look more closely at the different facets of the governance problem — to better understand how organizations view the problem, and what steps they are taking to ensure their SharePoint deployments are successful. The response from the community was good, and the results mixed. Not surprisingly, a majority of organizations either know they are not prepared or unsure of their level of preparation — which usually indicates a level of unpreparedness.

In the fourth  and most recent phase of our initiative, we are asking our survey respondents to share feedback on details surrounding their governance implementation readiness, identifying whether or not their governance strategy is robust, and includes the key components necessary to successfully scale and manage SharePoint.

What we found is that governance ownership is spread out across the organization, with 88% of respondents recognizing some degree of ownership in the shaping of policies and management of SharePoint governance, but at the same time they admitted that 59% of their organizations either don’t embrace the governance strategy or do not understand its importance – both of which can impact the ability for teams to execute their plans.
